Cape Elizabeth Education Foundation (CEEF) seeks a part-time Executive Director to lead this independent, dynamic non-profit organization, which supports Cape teachers and students by funding initiatives and projects that fall outside of the school budget. In this role, the Executive Director will work with the CEEF Board of Directors to oversee fundraising initiatives, grant programs, community outreach, and daily operations.

Executive Director Job Description

Overview

The Executive Director of the Cape Elizabeth Education Foundation (CEEF) serves as the primary staff member responsible for implementing the organization’s mission and strategic goals. This position works closely with the Board of Directors and Executive Committee to oversee fundraising initiatives, grant programs, community outreach, and daily operations of the Foundation.

Primary Responsibilities

Organizational Leadership

  • Work with the Board to fulfill CEEF’s mission and strategic objectives
  • Serve as the primary liaison between the Board, School Board, School District and Cape Elizabeth Community. 
  • Maintain regular communication with the Superintendent and District Business Manager
  • Build relationships with school administrators and educators to promote awareness of CEEF grants
  • Support the President who serves as CEEF’s primary spokesperson and public representative

Financial Management & Development

  • Collaborate with the Treasurer to develop and manage the annual budget
  • Oversee fundraising campaigns and events throughout the year
  • Maintain Little Green Light donor database and ensure proper acknowledgment of all contributions
  • Deposit Checks, process donations in Little Green Light and QuickBooks
  • Track progress toward annual fundraising goals
  • Reconcile bank accounts and manage financial reporting
  • Create invoices for Golf sponsors 

Board & Committee Support

  • Support the President in preparing for and executing 8 annual board meetings (first Wednesday of each month, September through June – No full board meetings over summer, but support summer committee work)
  • Assist with board meeting logistics including scheduling, room setup, and materials preparation
  • Support the Grant Chair in coordinating 4 annual Grant Nights (tentatively October, December, February, and May)
  • Provide administrative and logistical support for Grant Nights including snacks, signage, communication with applicants, and event preparation
  • Prepare meeting agendas in collaboration with the President
  • Coordinate committee meetings as required throughout the year
  • Coordinate Board social gathering once a year

Grant Program Coordination (in collaboration with Grant Chair)

  • Support the Grant Chair in promoting grant opportunities throughout the school district
  • Assist with documentation of grant impact 
  • Help organize grant nights as directed by the Grant Chair
  • Manage logistical aspects of Grants such as designing and ordering grant award plaques
  • Photograph grant-funded projects for promotional materials
  • Provide administrative support for the grant review process

Event Planning & Management

  • Oversee all CEEF events including fundraisers and teacher outreach
  • Manage event timelines, schedules, and day-of logistics
  • Communicate with venues, caterers, and other service providers
  • Order food and supplies for events and meetings
  • Coordinate volunteers for events?

Communications & Marketing

  • Support the Board President in communication initiatives 
  • Maintain CEEF’s social media presence
  • Design outreach communications aligned with development plan (Donor Valentines, Red Apple stationary)
  • Coordinate articles with Cape Courier 
  • Coordinate newsletter with the marketing team
  • Create content for the annual report
  • Provide information and materials to support the President in media interviews

Administrative Duties

  • Process incoming mail and correspondence 
  • Manage office operations and maintain supplies
  • Maintain accurate records and documentation
  • Complete insurance, compliance, and other administrative paperwork
